Do my clients need an account?
No. They get a link, they use it. No password to reset, no support email to you when they forget it.
Whose name is on the emails?
Yours. Add your own SMTP details and notifications go out from your address, not ours.
Does the portal look like my business?
Your logo, business name and colour on every plan. On Pro the portal runs on your own domain, so the address bar says your business too.
What if a client shouldn't have access any more?
Revoke the link. It stops working immediately, and you can issue a fresh one if you need to.
Will my clients know I use associates?
No. An associate gets a private link that shows only the requests you hand them: the brief, the thread, the files on it. Their notes are for you alone, nothing on the client's portal names them, and the time they log reaches the client's account only after you have approved it. You reply to the client in your own voice, as you always did. Pro plan.
Does it work with my Google Calendar?
Yes, both ways. Your existing calendars show inside vaOS, and anything you add here lands in Google straight away, Google Meet link and all. Nothing is copied into a second diary, so there is nothing to fall out of step, and disconnecting revokes the access at Google's end as well as ours.
Can I create invoices in vaOS?
No, and that is deliberate. vaOS shows you what is unbilled and keeps a record of every invoice you raise, what has been paid and what is outstanding. The invoice itself comes from your accounting software, because that is where HMRC expects it to live. Two minutes to type the total across, and one set of books.
Can I get my data out?
Any time, without asking. Every client's full record exports as a zip from their own page: details, requests, messages, time and files. Nothing here is designed to make leaving difficult.
How do I find things once there is a lot in there?
The supersearch bar at the top looks across clients, leads, prospects, requests, to-dos, notes and tags at once. Type a name or a word and jump straight there.
What happens if you stop running vaOS?
A fair question to ask a one-person business. Your data is yours and exportable at any point, so you would never be waiting on me to release it. vaOS is also the software I run my own business on, so it stops being maintained at roughly the moment I stop working.
