Your clients stop asking you for updates.

Every client gets a private link to file requests and check their prepaid hours. Behind it, vaCRM tracks your time, remembers what you have not invoiced, and keeps your diary and your costs in one place.

3 clients free. No card.

Three things, then you're running.

Setup takes about ten minutes. Your clients never create a password.

Add a client

vaCRM generates their private portal link at the same time.

Send them the link

They bookmark it. It keeps working until you revoke it.

Work from one list

Requests arrive in vaCRM. You log time against them as you go.

Four statuses. That's the whole system.

Your client sees the same status you do, so nobody has to ask where something got to.

What it actually does

Six jobs that were a spreadsheet, an inbox and a good memory.

Clients stop asking where things got to

Every client gets a private link. They file requests, watch the status change and see how much prepaid time is left. No password to reset, and none of it in your inbox.

Nothing you did goes unbilled

Start a timer or log it afterwards. Time comes off their prepaid block automatically, and anything past it waits on one screen with what it is worth and how long it has been there.

The time tracker with a running timer.

You know who owes you what

Record the invoices you raise, attach the PDF and your client sees it in their portal. vaCRM deliberately does not raise them: two systems both numbering invoices is how a tax year goes wrong.

Your diary, where the work is

Connect Google Calendar and your meetings show here. Add one, move it, give it a Meet link, without opening another tab. Nothing is copied and there is no second calendar to keep up to date.

What the business costs to run

Every subscription and fee in one list, however often it is paid, worked out to a monthly and a yearly figure. Renewals are flagged while there is still time to cancel.

Everything else in your head

A to-do list that knows what is due today, sticky notes for the things you keep meaning to remember, and one search box that finds a client, a request or a note without you choosing where to look.

Priced on how many clients you have.

Every plan has every feature. The bigger plans just give you more room: more clients and more file storage.

Before you sign up

Do my clients need an account?

No. They get a link, they use it. No password to reset, no support email to you when they forget it.

Whose name is on the emails?

Yours. Add your own SMTP details and notifications go out from your address, not ours.

Does the portal look like my business?

Your logo, business name and colour. The portal sits on a vaCRM web address for now.

What if a client shouldn't have access any more?

Revoke the link. It stops working immediately, and you can issue a fresh one if you need to.
